When it’s time to climb out that admin hole & step back into your CEO role

Fire up your creative-thinking-brain (again).

Not being an organisational genius should not hold you back from getting new clients. And a fear of tech shouldn’t stand in your way to pursue new projects.

But the tasks you can’t ignore seem to take precedence over the things that will actually move your business forward—think about the amount of time you’re spending on client emails, invoicing, the paperwork.

You can’t eradicate it all—you’d never get paid and your clients might get a bit peeved they’re not getting the guidance they need—but it drains your energy, the energy you were planning on putting towards the big picture stuff. Or even just doing the client work itself.

When you frame it like this, doesn’t it sound totally absurd?

But it's the *uncomfortable* truth.

This is where I slide into the picture, pot of earl grey in-hand and strategy-hat firmly on.

 Let’s start simplifying.

The dream is to do what you’re doing now but for a very long time, no? I mean, just look at the years you’ve put in to hone your craft. So I want to set up the systems and tech for you, to make that goal become really real.

I had this lightbulb moment when I was trying to plan my DIY wedding.

All these people were asking me for a boat-load of cash. But I was forever chasing info, getting ghosted more times than I care to recall. If one company’s sole responsibility was to feed my guests, was it too difficult to keep me in the loop?!

Having previously worked in HR, I had a birds-eye-view of the internal problems that companies faced—scant organisation, messy books, targets getting lost in the wash.

But this time round I actually felt what it was like to be on the receiving end. Me, the person with the credit card—I kinda felt ignored and unimportant.

Staying on top of paperwork, making sure your customers don’t start feeling resentful in giving you money and keeping your long-term goals within sight isn't something that’s reserved for the big-budget companies.

But so many people think it is. It’s not a trade off—you are capable of doing it all (and better than your competitors, if I may be so bold).

Dubsado has become the backbone to the running of my business. It’s something I’m eager to share with you because I’ve seen how it’s changed so much for my clients too.

  • I’ve worked with international luxury travel agents bringing in clients who want to spend 6 figures on one trip

  • I’ve created strategies for solopreneurs to get consistent word-of-mouth referrals (saving them a ton of time trying to sell on Instagram)

  • I’ve helped freelancers step-up their revenue by saving as many as 12 hours a week they were previously spending on organising client files

  • It’s a business’ best friend.

Dubsado is an online platform that lets you create profiles for each of your clients (or they can even create them for themselves). Allocated to each client, you can store and auto-send invoices, personalise proposal templates, collect assets from clients, the list goes on.

The big lure for me is that you’re not replicating contracts, recreating PDFs or losing track of communications. Trust me, it’s a gamechanger for a small business.

I’m actually a certified Dubsado expert so know all the tricks to make the most of it to support your biz needs.

The way we run our businesses on the inside has a knock-on effect (whether you’re aware of it or not) on our clients and customers. I know you want your clients to feel looked after, but more than anything they want to feel valued. We’re absolutely on the same page there.

And I wanted to feel assured that everything would go to plan on my wedding day. But the lack of communication from all these businesses left me apprehensive.

But we can make sure your own clients turn into rave reviewers ‘cause your client experience feels professional and personal at the same time.

I’m always looking at things with the shoe on the other foot.

What do your clients need, to experience that big sigh of relief that you’re finally working together? How can we make their life that little bit easier? Is there something extra we can add into your comms that means they’re more likely to recommend you to their mates?

Liking the sound of professional and personal? I’m all ears. Get yourself signed up for a free discovery call and we can create our plan of attack.

“We knew we wanted to work with Emma when we saw her lovely Instagram feed. We just had a feeling that she’d be the right person! Her packages made sense for what we needed to achieve in our business. She is solution-oriented and offers a great balance between figuring out things herself and checking in with us regularly to keep us updated which gives us peace of mind.”

Moving your business forwards is hard if you’ve hired a sitting duck.

I’ve dabbled with trying to outsource—is it something you’ve experienced before too? To be completely frank, it was a shambles. It was more stress than it was worth.

‎‎‎‎‎‎

Handing over the reins to your business is scary—we’re used to doing everything ourselves. Relying on #1. So is someone else going to do it justice?

They wait til you ask them to do something. They go away and do it. But oftentimes you’re spending as much time explaining what you want as if you’d just done the damn thing yourself.

Outsourcing is not something we get a ton of practice at, so navigating the process and expectations can feel like trying to find a bee in a blizzard.

*Err are you trying to put me off hiring you?*

No. Because now I’ve seen the whole thing through your eyes.

That brings me to the juicy bit. What you’ll find with Noted PA (that you won’t with most other VAs) is…

Communication is as important as getting the work done.

I learnt the importance of managing people—and what the expectations of them were—from my 6+ years working as an HR exec and operations manager. In this *big* adventure travel company you just might have heard of before it was my job to streamline and simplify.

By creating a system that improved communication—internally and with clients—I was able to save them 26% of their expenses budget in my first year.

But when I tried to get outside support for my own small business, it was communication that was the missing ingredient. The people I was trusting with my business weren’t being proactive. There was a lot of chasing. Because they didn’t ask enough questions, the deliverables were off the mark.

Working with Noted PA, you’ll find that weekly check-ins are the key to managing expectations. And the focus on bigger-picture-thinking directs progress.

I’m thinking 5 steps ahead of you. In the here and now, keeping plates spinning is your priority. But I’ve learnt over the years that there are roadblocks that naturally pop up, sooner or later.

So I want to bring this foresight to the table, so you’re prepared to steadily grow without a hiccup.

This is support for small businesses, led by strategy.

Can you kinda see why calling myself a *just* a ‘virtual assistant’ makes me cringe?

If you need more than someone taking care of the bottom half of your to-do list, but a friendly face that’s keeping an eye on the long-term vision (just let me dust off my trusty flip-chart quickly), let’s chat.

“Emma is innovative, intuitive and I highly value her passion and creative input to make suggestions in my business to consistently drive it forward. Emma thinks in a very logical way and understands the best way to create processes and develop the customer journey in a new fresh way. I love the fact that she is systems and tech minded as to me that felt like a solace in the oasis of craziness and it’s so helpful having her by my side so I can have more space to think strategically in my business.”
